Starting March 31, 2024,
UBC will begin removing chat messages in Zoom after 90 days. This chat retention policy impacts chats exchanged between individuals, in groups, and in channels using the Zoom “Team Chat” feature. For details, please click

UBC Zoom Account for Faculty and TAs
Instructors and TAs are not automatically granted UBC Zoom accounts. Please email the UBC IT Audio/Visual Helpdesk at av.helpdesk@ubc.ca with your UBC email address and the faculty/school/department. Upon approval, UBC IT will send you an email to activate the new UBC Zoom account.
If you are using Zoom for your Canvas courses, please ensure the default email address in Canvas matches your UBC Zoom account. Please see the following link for instructions on how to update your default email in Canvas.

Zoom Registration for Students & Pre-assigned Breakout Rooms
Since UBC instructors are not permitted lists of student personal email addresses for registration or preassigned breakout groups. More details from https://lthub.ubc.ca/guides/zoom-instructor-guide/
Now, LTHub has come up with alternatives to get the preassigned feature feasible.
With a recent update, we can direct students to either:
Create a free, basic Zoom account using any email they want (from https://zoom.us/freesignup/) and then provide the instructor with the email address with which they signed up,
OR
Opt to have a UBC Zoom account created using their cwl@student.ubc.ca email address. They can sign up for a CWL@student.ubc.ca email address at: https://it.ubc.ca/services/email-voice-internet/ubc-student-email-service, and then they would send the teaching team that email address who can then submit them to av.helpdesk@ubc.ca in a spreadsheet so the accounts can be bulk-created.
If students have privacy concerns, they may sign up for Zoom with an anonymized email address that they only use for that purpose. Or, they may change their CWL name to something that does not easily identify them.
Student Etiquette Guidelines for Class Meetings
The TLS Team has created a PowerPoint template outlining student etiquette guidelines for class meetings. (Click HERE to download). This can be modified in any way that you see fit, and used as a rolling screen. For those of you who have not used a ‘rolling screen’, it can be set up in a live session on Zoom or other video conferencing platforms. You will need to set up a self-running presentation using the following steps:
- On the Slide Show tab, click Set Up Slide Show.
- To present your slide show in a window where control over advancing the slides is not available to the people watching, select Browsed by an Individual (Window) under Show Type, and click “Save”.
- Under Transition – Advance Slide, check “After: 00:10.00 (any time limit fits)” and click “Apply to All”.
