Data Residency Restrictions Removed From FIPPA
The Freedom of Information and Protection of Privacy Act (FIPPA) has recently been amended to eliminate the restriction on disclosure of personal information outside Canada. In place of this restriction, the minister responsible for FIPPA has issued regulations that require UBC to undertake a risk assessment whenever it plans to store sensitive personal information, especially if outside Canada. This is a must, not a recommendation or an option. UBC conducts such risk assessments through the Privacy Impact Assessment (PIA) process. Any initiative that involves the collection, use or disclosure of personal information must go through a PIA, no matter where the information will be stored.

Feedback for the Records Retention Schedules
The Records Management Office (RMO) is looking to update the records retention schedules and would like to welcome you to review and provide any feedback on them. Two comment periods will be available and posted to the Records Management Website on (1) March 15 to April 8, 2022 and (2) May 16 to June 9, 2022. Workday Revamp
Exciting changes to the Workday homepage, search functionality, navigation as well as updates that may affect our HR, Payroll, and Finance processes have been made. Workday training and Knowledge Base Materials updates will also soon follow. A summary of what have been changed with Workday’s latest release can be found here and on the ISC website.
Ending Refworks Subscription
UBC Library has decided to end the subscription to the RefWorks citation management software as of September 30, 2022. All users of the Legacy or ProQuest RefWorks will have to transfer their references to another citation management tool before that date. Support resources have been put in place to make this transition as smooth as possible. This RefWorks Transition guide provides instructions for migrating references to Zotero and Mendeley, and answers to questions you may have. UBC Library Research Commons also offers workshops and consultation bookings for one-on-one support.
