Technical Tips for Exam Logistics

In-Person and Online Canvas Exams

Instructors may use LockDown Browser to prevent students from accessing external websites or applications during Canvas exams. It is highly recommended to arrange a practice session so students can test the LockDown Browser setup before the exam.

To accommodate students unable to install LockDown Browser, consider these options:
– Canvas Quiz (without LockDown Browser) with in-person monitoring.
– Paper exams with in-person monitoring.

Invigilators should use Moderate This Quiz to track student progress and refer to the Quiz Log to investigate potential issues (e.g., unsaved answers or connectivity problems).

Exam Accommodations for Students with Accessibility Needs

When students register for exam accommodations, The Centre for Accessibility (CfA) will contact instructors to submit exam details for any required adjustments. You can refer to this Guide on Submitting Exam Information.

If desired, you can choose to OPT OUT of Canvas adjustments through CfA’s online portal.
– Selecting “Yes” to OPT OUT means that CfA will provide a list of students requiring accommodations, and either the teaching team or Forestry’s Teaching & Learning Support team can adjust Canvas exam settings.
– This approach ensures smoother coordination and reduces confusion about exam durations, allowances, or other settings.

Grade Submission Reminders

A gentle reminder for all instructors to submit final student grades to Workday:

(1) 7 business days following the examination date, OR

(2) 5 days following examination dates written on the last 2 days of the examination period, with the final deadline on Dec 31, 2024.

(3) For courses without final exams, grades are due no later than two weeks after the last day of classes.

Note:
Please do not release provisional or final grades on Canvas before the end of the exam period as per the dates above.

– For undergraduate courses, UBC keeps grades suppressed until the exam period is over so that students do not become distressed over a poor grade in one class while they are still preparing for exams in other classes.
– For the system to operate effectively, instructors should mirror this practice and suppress the release of grades on Canvas.

The Final Grade Submission Tool in Workday is available to instructors. Step-by-step guide can be found on the Faculty/Instructor Training Hub.

In addition, Enrolment Services is offering:
1. Q&A Zoom Sessions to guide instructors through grade submission processes and troubleshoot issues.
2. Live Troubleshooting Support via email from Dec 9-23.
